Trade-in-Favors privacy policy

Effective October 20, 2026 (applies when Trade-in-Favors accounts launch; replaces the October 19, 2026 version)

The short version: Trade-in-Favors is a shared neighbor favor board. To post or message you create a free account with your email address. We store your email, display name, ZIP code, optional bio, your posts, and your messages so the board works. We don’t sell anything, show ads, or use trackers, and you can delete your account in the app at any time.

Who we are

Trade-in-Favors is a free neighbor-to-neighbor favor exchange run by Khare Impact Organization, Inc., a Florida 501(c)(3) nonprofit corporation (Florida document N25000014763, EIN 41-2624524), 27317 Green Willow Run, Wesley Chapel, FL 33544 (“KIO,” “we,” “us”).

This policy covers the website trade-in-favors.com and the Trade-in-Favors Android app (package com.tradingfavors.board). The Android app displays that same website inside the app, so the same practices apply to both.

What we collect

You can browse without an account. If you create one, we store on our servers (Cloudflare):

  • Email address, used only to send a one-time sign-in code and identify your account. It is never shown to other users; KIO admins can see it when handling a report.
  • Profile: display name, 5-digit ZIP code, optional short bio (shown publicly), and the date you confirmed you are 18 or older and accepted the Terms of Use.
  • Posts: offers, needs, kids-resource listings and community events, with category, experience level, what you offer or need, what you want in return, neighborhood, ZIP code, note, and event date. Posts are public.
  • Notes: positive “Would recommend” and “Would use again” notes you leave (only totals are shown).
  • Messages: private 1:1 messages you send and receive, and read status. KIO admins may review a conversation that is reported.
  • Safety records: reports you file, users you block, and moderation actions.
  • Security data: a sign-in session cookie, hashed one-time codes (deleted within 15 minutes), and short-lived rate-limit counters (which may use your IP address) to prevent spam. We don’t store IP addresses with profiles.

We do not collect phone numbers, street addresses, precise location, contacts, photos, or payment information. The 20/50-mile ZIP filter uses public Census ZIP-center points and never uses GPS.

How we use it

Only to run the board (show posts, deliver messages, ZIP distance and “Could be a match” notes), to sign you in, and to keep the community safe (reviewing reports, removing posts, suspending accounts, limiting spam). No advertising, profiling, or marketing.

Who can see what

  • Everyone: your posts, display name, bio, ZIP code, join month, and note totals.
  • People you message: your messages and display name.
  • KIO admins (authorized volunteers): account emails, reports, and reported content, for moderation only.

Services that help run the app

  • Cloudflare hosts the website and its database (Workers and D1).
  • An email delivery provider (Resend or Cloudflare Email Service) receives your email address and sign-in code to deliver the sign-in email.
  • Google Fonts supplies one heading font (Google receives your IP address and browser details when it loads).
  • FormSubmit delivers messages sent through the contact form to khareimpact@gmail.com.

These services may process data in the United States. We do not use advertising networks, analytics, crash reporting, or social media trackers.

Sharing

We do not sell, rent, or trade your information, and we do not share it for advertising. We share information only with the service providers above, or when required by law or needed to protect someone’s safety.

Retention

  • Your account, posts and messages are kept until you delete them or your account.
  • Posts marked Done are deleted automatically after 90 days; past events stop showing two days after the event date.
  • Sign-in codes expire after 15 minutes and sessions after 60 days.
  • If an account is banned for breaking the rules, we keep its email address on a block list and related reports as long as needed to protect others.
  • Contact-form messages are deleted within 12 months unless needed for a safety or legal reason.

Deleting your account and data

In the app or website: sign in, open Profile, choose Delete my account, and type DELETE. Your email, profile, posts, notes, conversations and messages are deleted immediately. Reports you filed are kept without your name. Step-by-step instructions: trade-in-favors.com/delete-account.

If you can’t sign in, email khareimpact@gmail.com from your account’s address with the subject “Delete my account.” We will delete it within 30 days and confirm.

Children

Trade-in-Favors is for adults 18 and older only, and every user confirms this when joining. We do not knowingly collect information from anyone under 18 and will delete any account we learn belongs to a minor. The Kids resources category is an information list for parents only and is not verified or endorsed by Trade-in-Favors.

Security

All traffic uses HTTPS. Sign-in codes and session tokens are stored only as one-way hashes, the session cookie is HttpOnly and Secure, and admin tools are limited to named KIO accounts. No system is perfectly secure.

Your rights

You can access and correct your profile in the app, delete your posts or account at any time, or email us to ask what we hold about you. We respond within 30 days.

Changes

If we change how the app handles information, we will update this policy and its effective date before the change takes effect and post a notice on the board.
